OVERVIEW
Rueb-Group, Ltd.'s Customizable Time Accounting system is a web-based
system that can be used by anyone with access to the Internet and
can also be utilized for in-house Intranet access, or both.
Company Vehicles? Personal vehicles used for business purposes?
Track mileage daily, weekly, monthly and annually for each company
vehicle by adding modules which allow selection of vehicles and
logging mileage to each site. Produce reports on each vehicle for
year end taxes or select "personal vehicle" for mileage
reimbursements. Added options and features include selections for
travel expenses, with an option for "reimbursable expenses".
This feature will report all expenses to be reimbursed to an employee
and distribute by expense account.
Billing Reports
As simple as it is to produce payroll and Project reports, this
program makes the process of billing just as simple...and everything
you need will be at your fingertips at all times.
Simply enter the date range for the billing period you want, select
sort by "customer" field first and click "ok".
This will produce, not only fully calculated time reports, but also,
this report can be sorted in more detail to break down each customers
time reports by the date, project, etc. A bonus feature in having
these capabilities is being able to print these reports for each
customer, if needed, and as needed.

Navigation through the Time Accounting System begins simply by choosing
one of the options. (All customizable, and expandable. Add to, or
change to your own options.)

Employees
The information entered into the "Employees" section
serves several functions:
1) As a sorting option for reporting purposes.
From the "Reports" menu you will be able to sort by Employee,
then Project, Date and Customer, or choose an order that best suits
your requirements. A few clicks of your mouse will generate a report
that lets you know how many hours Kathy Smith expended this week
on administrative duties and how many hours of Vacation time Kathy
Smith used to date. Tasks assigned to a particular individual with
many duties can be sorted in reports to give you the information
in a layout as you need it. (See "Reports" for more information
on sorting capabilities.)
2) As user login & setup controls.
Activate and de-activate arriving and departing employees with one
simple step. Allow or disallow access to administrative functions,
such as editing features.
3) As an employee directory.
From the Employee menu, choose "Edit" to access a printable
directory with information such as phone numbers, extensions, and
e-mail addresses. This simplifies the Company Directory process
by having all of this information in one easy to access location.
Select "Employees," then select "Add"

Once an employee is entered in the Time Accounting
System, he/she will have access to the database in order to record
in detail when, where and how their time was expended. The employee
will be able to add Time Records, as well as compile a report
of their time by the customer, project, by the day, by the week,
etc.
Clients & Projects

Adding Clients can be as simple as a Customer number
and Company name, or customize to include several location identities,
addresses, phone numbers, contact names, e-mail addresses, etc.

Time Sheet Entry

Customizable Time Entry includes a spacious description
field to allow for detailed explanations of work performed. This
detail appears in full without losing part of a description in
reports due to limited field lengths.
An added feature is the Internal Notes, which will
allow for messages such as, rescheduling an appointment, memos
to billing or payroll for special attention to payment requirements,
footnotes for possible future use, notable events or occurrences,
etc.
The Time Sheet Entry can be customized to include
such features as Clock In/Clock Out
Time fields, for more accurate time records, or add Location Codes
for customers with several locations.
Time Accounting Reports
Customize time reporting by having the capability
of producing a report that will tell you how much time was spent
on a particular item or project for the year, the previous year,
or a total per customer or employee by the month or by the day.
Distribute hours by the project or task and produce reports by
the task, by the date, or by whatever your requirements may be.
